Office Usage Dashboard

Access the usage dashboard to understand how resources are being used at each office, and how Calven can be used to optimize office resources

Navigate to your office from the locations section of the main Backoffice menu, and select the Usage tab for an at-a-glance look at how your office is running.

In the center of the page, you'll see insights about attendance and desk booking automations over the past month - Calven aims to tell you about your utilization, and the impact of automations like auto release assigned desks, no-show prompts, and waitlist

In the right sidebar, you'll see an overview listing all of the resources and key metrics.

 

Usage Overview

The usage overview section shows how many desks are being booked on average each day. If your office has presence data, you'll see average daily check-ins in the left column.

In the absence of presence data, you'll see average daily desk bookings. Utilization will also be based on presence data if available, or desk booking data if not:

 

Assigned Desks

The assigned desks section shows how many assigned desks your office currently has. If you have auto-release assigned desks enabled, you'll see the average number of desks released each day by auto-release.

If not, Calven will show you how many assigned desks could be released each day (based on people with assigned desks who worked remote or elsewhere) and the potential annual savings based on your cost per visit:

 

No-shows

The no-shows section will display average daily no-shows, or the number of people who book desks but are not checked in by presence. If you've enabled no-show promptsthe middle column will show how many desks are being auto-released by no-show prompts, and the right column will show the projected annual savings from these desks which are no longer being wasted. 

If your office has presence but does not have no-show prompts enabled, Calven will show how many desks could be freed up by no-show prompts, and the possible annual savings that could be generated by not wasting them (based on cost per desk):

If your office does not have presence data, you'll see a prompt to set up presence integrations to begin getting insights on no-shows at the office:

 

Waitlist

If the desk waitlist is enabled in Calven, the waitlist section in the usage tab will show how many people on average are ending up on the waitlist without a desk, how often the waitlist is re-booking them. 

If you do not have the desk waitlist enabled, Calven will show how many people are ending up without a desk on average, and how many of them could be re-booked into desks that are freed up by other automations like auto-release assigned desks and no-show prompts.

What is cost per desk and how do I find the right number?

  • Cost per desk is the number Calven uses to estimate your annual savings created by desk booking automations and optimization - read more in our blog post.
  • You can enter your cost per desk by pressing the edit pencil next to the amount in the office overview section of the usage tab.

Can I change the date range to see more than just the past month?

  • Updates are coming soon with more detailed filtering and breakdowns. You can use analytics in the interim to see more detailed usage analytics over custom time periods.
