User Status
User lifecycle states within Calven
User Status can be seen via the People page in Backoffice. Use the Actions button and configure table to ensure that the Status column is visible.
States for profiles managed in Calven (not via SCIM or Directory Management):
- Active: the profiles are created in the People page, and can be used to sign-in and/or utilize Calven, for example:
- Users created directly from within Calven
- Calven Installer profile (which is created by default for all new customer environments, and used by Calven Support when troubleshooting)
- Generic guest/visitor e.g. visitor1@company.com (useful for office administrators when needing to book an ad hoc desk for a non-Calven user)
- Inactive: when an Active user is removed via the Actions button on the People page
States for profiles managed via SCIM or Directory Management:
Deprovisioning is a critical flow to ensure that when a user leaves an organisation, all synchronised systems are promptly updated to revoke authorised access. User in the following states will be
- Provisioned: initial status for all users upon being provisioned to Calven
- Deprovisioned: status will change from Provisioned instantly when user is deprovisioned (typically upon termination of employment) by the organization and remain in this state for ~48 hours
- User will be unable to access Calven (app sign-in will fail, access passes will be revoked, etc).
- All office resources and relationships for this user in Calven are removed (future bookings, favourites, group membership, future event attendance, etc)
- To Be Deleted: status will change after ~48 hours of being in Deprovisioned state, and remain for 30 days
