Integrate Floorsense desk booking handsets with your office
Use Calven's Floorsese integration to connect desk booking handsets to Calven desks and supercharge your booking, check-in and analytics experience.

How to set up the Floorsense integration
Head to https://backoffice.calven.com/integrations and click on the Floorsense integration to get started. Use the add configuration button to start linking your Floorsense instance to Calven.
Follow the steps listed to name this configuration, and enter the credentials from your Floorsense instance. When you get to the webhook secret field, you'll need to either generate or create your own "secret". After doing so, press the "create configuration" button:
After you've created the configuration, you should see 3 values:
- Webhook event filter
- Webhook URL
- Webhook Secret
You should also see a button to open Floorsense configuration. To finish connecting Calven to your Floorsense instance, use this button to open Floorsense and enter the 3 values in the Webhook Configuration page. Once this is complete, reload the page and you should see the integration up and running:
Mapping Calven desks to Floorsense desk booking handsets
To map Floorsense handsets to each of your Calven desks, navigate to the desk mappings tab. In order to create the mappings, you'll first need to download the spreadsheet of desks via the download mappings action.
In your Floorsense instance, you should be able to download a spreadsheet of all desk booking handsets. Once you have both, paste the floorsense handset ID's into the desk mappings CSV from Calven, then re-upload to the desk mappings page. You should see the ID's lined up - once this happens, your handsets should begin to sync their desk booking status with Calven.
How to use floorsense desk handsets
Once the Calven Floorsense integration is up and running, Floorsense handsets should show when desks have been booked via Calven, and vice versa.
The Floorsense panel screen will be in idle if there’s been no activity for over 20 seconds, but you’ll still be able to see the desk number + who’s booked it.
The desk status will be reflected by the LED light at the bottom:
🟢 Available - Reserve the desk in a single step by tapping your access card on the symbol on the Floorsense panel. Power to the workstation will be off.
🟠 Reserved (Booked)- You’ll see your booking details on the panel. Tap your access pass on the symbol on the Floorsense panel at your booked workstation to confirm you’ve arrived. Note: only you can swipe into your desk, preventing others from taking it! Power is on in this state.
🔴 Confirmed (Checked-in) - Once you’ve tapped your access pass at the workstation, the LED indicator and screen will be red to indicate the desk is booked. Your booking details will be displayed on the screen.
Once you’ve badged in using your Floorsense handset, a green tick ✅ will appear on your profile avatar in Calven to indicate that you’ve arrived.
