Integrate Embrava desk signs with Calven

Use Calven's Embrava integration to connect your desk signs to Calven desks and supercharge your booking, check-in and analytics experience.

Before setting up the Embrava desk signs integration, make sure you've got...

  • Desk signs configured via the Embrava device management portal
  • A spreadsheet containing a list of serial numbers for each desk sign (this can be obtained from your purchase provider)

Connecting Calven to Embrava

In Calven Backoffice, navigate to integrations > Embrava. If this is your first time using the integration, you should be prompted to create a new configuration:

  1. Enter a name for this configuration
  2. Enter your Embrava org ID and secret key
    1. These can both be found in Embrava device portal > account > integrations
  3. Click the connect to Embrava button
  4. Once the connection is established, you can link your Embrava desk signs to Calven desks

 

Linking desk signs

To link desk signs to your Calven desks... 

  1. Navigate to the desk signs tab within the Backoffice Embrava integration
  2. Download the desks CSV containing all desk names and IDs for your office
  3. Open both the desks CSV and the spreadsheet containing serial numbers for your Embrava desk signs
  4. Add the corresponding Embrava desk sign serial numbers to your desks CSV (in the embravaID column)
  5. Use the link desk signs action to re-upload the desks CSV with columns: deskName, deskID, embravaID
  6. Verify your desks are linked to the correct desk signs.

 

Configuring how desk signs will function

Calven offers a few options to control your experience with desk signs:

Trigger cleaning state refers to the time each day when desks that were booked will display the "cleaning" color on their LED signs. Only desks that have been booked or used will transition to the cleaning state. Cleaning color and booked/available colors can be configured within your Embrava device management portal.

Display QR code controls if the desk signs will display QR codes - these QR codes will automatically launch the Calven app to quickly book the desk when scanned. 

Send presence event when booked via QR determines whether booking via a QR code will trigger a presence event for this desk in this office. 

 

How to use Embrava desk signs in your office

Once the Calven Embrava integration is up and running, desk signs should show when desks have been booked via Calven, and vice versa.

The desk status will be reflected by the LED light at the bottom:

🟢  Available - Reserve the desk in a single step by tapping your access card on the symbol on the Floorsense panel. Power to the workstation will be off. 

🟠 Reserved (Booked)- You’ll see your booking details on the panel. Tap your access pass on the symbol on the embrava desk sign at your booked workstation to confirm you’ve arrived. Note: only you can swipe into your desk, preventing others from taking it! Power is on in this state.

🔴 In use (Checked-in) - Once you’ve tapped your access pass at the workstation, the LED indicator and screen will be red to indicate the desk is booked. Your booking details will be displayed on the screen. 

Once you’ve badged into your desk sign, a green tick ✅ will appear on your profile avatar in Calven to indicate that you’ve arrived.
