Disable and archive a location

Scenarios can arise that result in the need to modify the state and appearance within Calven, for example:

  • An existing office has closed and no longer in use
  • A new office will be opening soon and needs to be prepared
  • Eliminating temporary, test or holding location

 

When a location is in disabled state:

  • Users can't see the location or book into it
  • Administrators can see it in Backoffice and perform various actions including floorplan editing, and changing location settings and configuration options

When a location is in archived state:

  • Users can't see the location or book into it
  • The location will appear in Backoffice with an archived designation, and the position will change to be below other active locations; Administrators will not be able to edit floorplan or perform other changes

Considerations for administrators prior to disabling or archiving a location:

  • Users that have it set as their Primary Office
  • Desk bookings: group workspace allocations and user future bookings
  • Recurring or future events
  • Ensuring that meeting rooms, access control, presence events and other services (Visitors, Service Requests, Catering) are reviewed and managed accordingly if the organization is moving into a new location

 

Backoffice Actions

 

How to disable an active location:

  • Navigate to the location in Backoffice
  • Click on Actions button, and then Disable Location
  • A pop-up box will appear; it may contain warnings or actions to complete, such as changing the Primary Office for relevant users
  • Click on Disable. The location will now be designated as disabled in Backoffice, and will no longer be visible to users in the mobile app or web app.

How to enable a disabled location:

  • Click on Actions button, and then Enable Location

How to archive a location:

  • Click on Actions button, and then Archive Location
